Best Practices - Uploading Documents

Things to keep in mind as you upload documents to Knool

At Knool, we’re dedicated to helping lawyers efficiently manage large volumes of evidence. As we rapidly build features and enhancements around the document upload process, you can review some of the recommended best practices to ensure a frustration-free experience with Knool.

We’re actively working to address the limitations detailed below, with a focus on the most critical issues first. Your feedback helps us improve Knool, and we encourage you to share any issues or feature requests that would enhance your experience.

All Files

File Format

  • Knool currently supports PDF files only. Ensure all documents are converted to PDF before uploading.

File Size and Page Limit

  • Knool has a current size limit of 100MB per file

  • To assist with preview loading, you may select the recommended compression setting when uploading a document

  • Users can upload up to 100 files simultaneously, with no cap on total case files. However, for optimal summarization and analysis, we recommend uploading only case-relevant documents. Including unrelated materials may dilute the focus and reduce output quality

    Workaround

If your file exceeds this limit, you can reduce the size before uploading.

  • On Mac: Open the file in Preview -> File -> Export -> Select Quartz Filter: Reduce File Size -> Save.

  • With Adobe Acrobat: Use the Compress a PDF tool in your toolbar.

  • You can also find free online tools that will compress PDF files.

Optical Character Recognition (OCR/Searchable)

  • To ensure accurate extraction of key facts and case elements, complaints must be OCR’d prior to upload. While non-OCR documents (e.g., scanned documents) are accepted for other file types, we strongly recommend uploading OCR-processed files across the board to maximize summarization fidelity and downstream analysis

Workaround

Use your preferred PDF editor to apply OCR manually and re-upload documents if you run into a warning

Visible Page Numbers

Ensure page numbers are legible and does not conflict with any other numbering or markings on the document

  • Example - Files with restricted margins, such as those containing court reporters' logos, can interfere the ability to read page numbers, particularly in multi-volume documents

Workaround

If you experience issues with page numbers, you may print, re-scan, and apply OCR before uploading.


Deposition Transcripts

Please follow generic file upload guidelines will apply.

Full Transcript Uploads

For deposition transcripts, please upload the full certified deposition transcript. Avoid uploading rough drafts, condensed versions, or already summarized depositions, as Knool is specifically designed to process full, certified transcripts.

Avoid Exhibits

Avoid Exhibits in the Transcript: If exhibits are attached to the transcript, Knool may not interpret them correctly.

Workaround

Remove exhibits from the transcript before uploading and upload as separate documents and choose 'Other' as the document type

Multi-Volume Deposition Transcripts

Ensure multi-volume transcripts are numbered correctly. If the page number header isn't properly OCR’d, Knool might assume the page numbers start from 1 in each volume

Multiple Cover Pages

If a deposition contains multiple cover pages and page numbers aren’t properly OCR’d, the physical page numbers may not match the ones displayed in Knool.
